
Guidelines for Local Participants
Weather
Events will proceed regardless of the weather, rain or shine!
In case of rain: Bring a cover to protect your products from moisture.
In case of wind: Use devices to prevent your products from being blown away.
Operating Hours
Event hours: 11:00 AM to 8:00 PM
Preparation time: 9:00 AM - 11:00 AM
Vehicles can arrive from 9:00 AM and must leave by 10:30 AM. You have 20 minutes to drop off items.
Clean-up time: 8:00 PM - 10:00 PM
Vehicle access is allowed after 8:00 PM. The venue must be vacated by 10:00 PM.
Stand and Banner
Stand size: 3 meters x 3 meters (9m²).
Banner size: Maximum 305 cm x 122 cm.
“Nobori” flags: Maximum height of 183 cm, must not exceed 397 cm from the ground and must be positioned below the Japanese flag. Vendors in contests may use only one banner.
Prohibited products: Counterfeit goods, alcohol, and raw food.
Promotion: Decorate your stand with clear, attractive displays, including product photos and prices, to make your offerings easily understandable and appealing.
Documentation Requirements
For food product vendors (to be submitted at least 1 month before the event):
Recent KBIS (less than 3 months old).
Mobile Commerce License.
ID of the business owner.
Civil Liability Professional Insurance.
HACCP certification (Hazard Analysis and Critical Control Points training).
For non-food product vendors (to be submitted at least 1 week before the event):
Recent KBIS (less than 3 months old).
Mobile Commerce License.
ID of the business owner.
Civil Liability Professional Insurance.
Non-compliance Consequences:
Failure to submit required documents on time may result in fines or expulsion from the event. Vendors must ensure all documents are valid and current.
Waste Management
Vendors must take their waste home. Dispose of oils by soaking them in newspaper or similar materials before discarding.
Do not dispose of food remnants or ingredients on the street.
Rented items (other than tents, tables, chairs, or generators) must be picked up and returned to the Japan Fes booth.
Japan Fes Paris Regulations
The event committee reserves the right to limit the number of vendors selling similar items or services.
Vendors must bring all necessary supplies, including tables, tents, chairs, water, and other equipment. Food vendors are required to have a tent. Rentals are available if needed.
Clean your area and take waste home after the event.
Sound amplification devices are not allowed without approval.
Vendors must be set up by 11:00 AM and remain operational until 8:00 PM. A €150 late fee applies if setup is not completed on time.
Provide a product for social media promotion on the morning of the event.
Submission of the participation form does not guarantee acceptance. Priority is given to vendors with Japanese-themed menus.
Vendors must display Japan Fes collaboration items prominently and ensure they are always in stock.
Only one sales line per stand is allowed, with no more than five groups waiting for service.
Vendors must cooperate in displaying the Japanese and Japan Fes flags, as only the Japanese flag is permitted for this event.
Payment Terms
A €100 deposit is required within one week of receiving the invoice. Late deposits require a new application and may result in increased fees.
The remaining balance must be paid at least one month before the event.
No fee will be charged if payment is made by the due date.
A late fee of 10% will be charged for payments made after the due date.
Credit cards will be charged with a 13% fee if payment is made 3 days after the due date.
Failure to provide credit card information will result in the cancellation of your spot.
Vendors who have applied for the next event but have not made the payment will not be permitted to participate. Please note that deposits will not be refunded in case of rule violations.
Cancellation Policy
Stand fees: No refunds unless canceled by the City of Paris due to weather alerts.
Equipment rental: Full refund for cancellations 7+ days before the event; no refund within 6 days.
Legal Notes
Vendors are responsible for their equipment, space, staff, and inventory.
Japan Fes Paris is not liable for injuries, losses, or cancellations due to unforeseen circumstances.
Gas lines must comply with Paris regulations and be certified for propane use.
